Terms of Service

By creating a CoTeam account or using the CoTeam platform, you agree to these Terms of Service ("Terms"). These Terms form a binding agreement between you and CoTeam AI Ltd ("CoTeam", "we", "us"). If you are using CoTeam on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.

CoTeam is an AI Response Engine for Presales teams. The platform includes a web dashboard, Chrome extension, inbound email gateway, and associated APIs (collectively, "the Service").

We reserve the right to modify, suspend, or discontinue any part of the Service with reasonable notice. We will not intentionally remove features you are actively relying on without giving you time to adjust.

You are responsible for maintaining the security of your account credentials. You must notify us immediately at founders@coteamai.com if you suspect unauthorised access.

You must be at least 16 years old and have authority to enter into these Terms. You may not create accounts for the purpose of circumventing usage limits or evaluation terms.

You agree not to:

• Use the Service to generate content that is illegal, harassing, defamatory, or harmful.
• Attempt to reverse-engineer, scrape, or extract the underlying AI models or retrieval system.
• Share your account credentials or extension tokens with people outside your organisation.
• Use the Service to train competing AI models or products.
• Attempt to circumvent evaluation limits by creating multiple workspaces for the same team.
• Upload content to which you do not have the right to grant us a processing licence.

You retain full ownership of all documents, questions, answers, and other content you upload or generate using the Service ("Your Content").

You grant CoTeam a limited, non-exclusive, royalty-free licence to store, process, and transmit Your Content solely for the purpose of providing the Service to you. This licence does not permit us to share your content with other customers, use it for advertising, or use it to train AI models.

You are responsible for ensuring you have the rights to upload content (e.g., customer-facing security documents, third-party compliance reports). Do not upload content that is confidential to a third party without appropriate authorisation.

New workspaces start on the evaluation tier, which includes 10 Ask responses and 2 questionnaire runs at no charge. Knowledge base uploads are unlimited on the evaluation tier.

The evaluation tier is intended for genuine product evaluation. We reserve the right to suspend accounts that appear to be circumventing limits through the creation of multiple evaluation workspaces for the same team or purpose.

Paid plans are billed annually by default via PayPal, at the best available price for your tier. A monthly billing option is available at a premium rate for teams that require it; monthly subscribers may switch to annual billing at any time. Subscription fees are non-refundable except where required by law. We will notify you of any price changes at least 30 days before your next renewal.

If a payment fails, we will notify you and allow a reasonable grace period to resolve the issue before suspending access. We will never delete your data without appropriate notice.

To cancel a subscription, email founders@coteamai.com at least 14 days before your renewal date.

When you send an SME review request, you represent that you have the recipient's consent to contact them for this purpose. You are responsible for ensuring that external SME submissions you incorporate into your questionnaire responses are accurate and appropriately authorised.

CoTeam and its logos, design, and underlying technology are owned by CoTeam AI Ltd and protected by intellectual property law. These Terms do not grant you any rights to our intellectual property beyond the limited licence to use the Service as described.

Any feedback, suggestions, or ideas you share with us may be used to improve the Service without obligation to you.

The Service is provided "as is" and "as available". CoTeam AI answers are AI-generated and should be reviewed by a qualified person before being submitted to prospects or customers. We do not warrant that answers are accurate, complete, or legally sufficient for any particular purpose.

CoTeam is not a legal, compliance, or security advisory service. Information generated by the Service does not constitute professional advice.

To the maximum extent permitted by law, CoTeam AI Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, even if we have been advised of the possibility of such damages. Our total liability to you for any claim arising from these Terms or the Service shall not exceed the amount you paid us in the 12 months preceding the claim.

You may terminate your account at any time by contacting us. We may terminate or suspend your account if you materially breach these Terms, with written notice where practicable.

On termination, your right to use the Service ceases immediately. We will retain your data for 30 days after termination to allow you to request an export, after which it is deleted according to our retention policy.

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, unless local mandatory law requires otherwise.

We may update these Terms from time to time. Material changes will be communicated by email at least 14 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms.
