Questionnaire Engine

Upload any security questionnaire, RFP, due diligence review, or vendor assessment. Tell CoTeam which type you're uploading and it adapts its tone and retrieval accordingly, then processes every question against your knowledge base and hands you back a confidence-sorted draft to review, approve, and download.

Supported document types

  • Security Questionnaire — encryption, access control, incident response, pen tests; answered conservatively and only from cited sources
  • RFP — capabilities, differentiators, case studies, pricing; written to win the deal
  • Due Diligence — financial stability, insurance coverage, governance, and legal standing, alongside the standard security basics
  • Vendor Assessment — subprocessor chains, business continuity, and ongoing monitoring

Select the type on the upload screen — it changes the tone CoTeam writes in and which parts of your knowledge base it prioritizes for each question.

Supported formats

  • Excel (.xlsx, .xls) — the most common questionnaire format, including multi-tab files and merged cells
  • Word (.docx, .doc) — narrative-style RFPs, due diligence packets, and free-text reviews of any kind
  • PDF — static vendor forms; CoTeam extracts the questions and fills a matching response document

Uploading and processing

Upload the file from the Questionnaire page. CoTeam parses every question, retrieves the most relevant knowledge base content for each one, and drafts an answer.

Typical processing time is 1–3 minutes for 50–100 questions. When it finishes, you'll get a completion email with a confidence breakdown and a direct link into the review session — no need to keep the tab open while it runs.

The review session

Once processing is done, answers are sorted lowest to highest confidence, so the ones that actually need your judgment come first — you're not wasting time re-confirming answers CoTeam already got right.

For each answer, you have five actions:

Add to KB + re-runPaste text, upload a file, or enter a URL to close a gap. CoTeam re-answers that question immediately with the new source.

Keyboard shortcuts are available for the fastest path through a large questionnaire — check the review screen for the current bindings, which cover approve, edit, flag, and moving between questions.

Confidence and gaps in the review session

Every answer carries the same three-tier confidence system used in Ask:

  • 🟢 High — sourced directly from your knowledge base
  • 🟡 Medium — inferred, worth a quick check before approving
  • 🔴 Low / gap — no source found; CoTeam names the specific document that would close it

Downloading the completed questionnaire

Once you've been through the review session, download the completed file in its original format, ready to send back to the vendor or prospect.

Evaluation limit

During evaluation, you get 2 questionnaire runs — enough to see the "wow" moment of 70–90% auto-fill on a real file, plus a second run in case the first was a small test document. Knowledge base uploads are never limited. See Billing & Plans for upgrading past this limit.
